FLEX STRATATerms of Use
Effective 29 September 2026 ยท Idealounge Pty Ltd (ABN 59 162 489 316) trading as Flex Strata
1. Licence and permitted access
- Platform licence: Flex Strata grants the Customer a non-exclusive, non-transferable, revocable subscription licence to access and use the Flex Strata platform solely for the administration, maintenance, governance and communication management of the Customer's scheme.
- Authorised users: Access is permitted for verified Lot Owners, Committee Members, Chairperson, Secretary, Treasurer and authorised Building or Strata Managers. Access permissions and visibility are governed by role-based controls configured by the Customer.
- Account responsibility: Each user is responsible for safeguarding their login credentials. Any action performed under an authenticated user session is deemed authorised by that user.
- Requests and support channel: Flex Strata does not accommodate or action individual lot owner requests. All requests, instructions, corrections, complaints and data enquiries must be made to the Owners Corporation's Committee or its appointed Strata Manager, who are the only parties authorised to instruct Flex Strata on behalf of the scheme.
2. Fees, invoicing and EFT terms
- Subscription fees: Fees are invoiced monthly in arrears at the end of each billing period, calculated according to the active AI package, enabled add-ons and any approved credit pack purchases for that period.
- Invoicing and EFT payment: Invoices are issued electronically to the Customer's designated billing email. All fees are payable within 14 calendar days of the invoice date by Electronic Funds Transfer to Idealounge Pty Ltd, BSB 083-004, Account 521-795-291, quoting the invoice number as the reference.
- No automatic card debits: Flex Strata operates on tax invoices and bank transfers. No automated credit card charges or merchant payment gateway fees are imposed.
- Suspension for non-payment: If an invoice remains unpaid 30 days after the due date, Flex Strata may suspend administrative access to the platform following 7 days' written notice to the Committee. Statutory registers and compliance records remain exportable during any suspension period.
3. Service levels, hosting and availability
- Flex Strata targets 99.5% service uptime, excluding scheduled off-peak maintenance announced at least 48 hours in advance.
- The platform is hosted on managed cloud infrastructure in Australian regions, with access controlled by authenticated sessions and per-scheme row-level security.
- Automated daily backups of all scheme databases, registers and document stores are maintained in encrypted cloud storage within Australia.
4. AI features and regulatory disclaimer
- Advisory assistance only: Flex AI features (legislation lookup, meeting minutes drafting, invoice parsing, email action drafting) are provided as administrative workflow aids.
- Accuracy of AI output: AI-generated content may be incomplete, out of date or incorrect. Flex Strata gives no warranty as to the accuracy of any AI output. The Customer must independently verify all AI output and always refer to qualified professionals (such as strata lawyers, accountants, insurers, engineers or licensed strata managers) before acting on it.
- No legal or engineering advice: Flex AI outputs, draft notices and statutory interpretations do not constitute qualified legal, engineering or accounting advice. The Committee retains sole responsibility for all decisions, votes and statutory filings.
- Committee approval required: All AI-suggested work orders, ballots, draft emails and payments remain in a draft state until explicitly reviewed and approved by an authorised committee member or manager.
5. Term, termination and transition
- Term: Subscriptions run month-to-month or on an annual schedule as set out in the Service Schedule.
- Termination by resolution: Termination of the subscription, and any request to delete scheme data, must be authorised by a resolution of the Committee or the Owners Corporation. Flex Strata will not act on a termination or deletion instruction from an individual owner, committee member or manager without evidence of that resolution.
- Termination for convenience: Either party may terminate the subscription with 30 days' written notice, given in accordance with the resolution requirement above.
- Data handover on termination: The Customer is entitled to receive a complete, unencumbered export of all scheme data (register exports, meeting minutes, financial ledgers and document archives in standard PDF format) within 14 business days, consistent with state statutory record-keeping periods (7 years).
