Privacy & Data Ownership Policy

1. Customer data ownership

Exclusive ownership: All strata rolls, lot ownership records, financial cashbooks, levy registers, maintenance logs, ballot records, contractor files and correspondence uploaded to or generated within Flex Strata are and remain the exclusive, unencumbered property of the Owners Corporation.
Not the manager's data: Data belongs to the Owners Corporation, not to any strata manager, building manager, committee member or agent who enters or accesses it. A change of manager does not change ownership of, or entitlement to, the data.
Role of Flex Strata: Flex Strata acts purely as a secure data custodian and processor. Flex Strata claims no intellectual property, lien or commercial rights over Customer data.
No vendor lock-in: The Customer can export its complete records at any time.
Deletion requires a resolution: Requests to delete scheme data must be authorised by a resolution of the Committee or the Owners Corporation, and are subject to the Owners Corporation's own statutory record-keeping obligations.

Australian data residency: Databases, document storage and backups are hosted on managed cloud infrastructure in Australian regions.
Encryption: Data in transit is encrypted using TLS. Data stored by our cloud provider is encrypted at rest.
Access control: Access requires an authenticated account. Permissions are enforced by role-based and row-level security rules on the server, not only in the interface.
Scheme isolation: Data for one scheme is inaccessible to users of another scheme.
Backups: Encrypted automated backups are retained by our cloud provider with documented restoration procedures.

Collection: We process personal information (owner names, email addresses, phone numbers, lot numbers, unit entitlements and voting records) solely to provide platform services to the scheme and to comply with state strata legislation, such as maintaining the Strata Roll.
No third-party sale: We never sell, rent, monetise or disclose owner contact details or property financial records to advertisers, marketers or data brokers.
Service providers: Data is shared only with essential infrastructure sub-processors (cloud hosting, transactional email delivery and SMS delivery for verification).
Access and correction: Individual owners must direct requests for access to, or correction of, their personal information to their Committee or Strata Manager, who administers the scheme records. Flex Strata does not action individual owner requests directly.

No model training: Confidential strata data, committee correspondence, member emails and building documents are never used to train public or proprietary AI models.
Ephemeral processing: AI requests are processed solely to complete the requested task.
Personal information masking: Sensitive personal details are masked before AI processing where possible.
Accuracy: AI output may be inaccurate or incomplete and is not a substitute for professional advice. Always verify AI output and consult a qualified professional before acting on it.
